Sync mobile devices with public folders on Exchange

 

CodeTwo Exchange Sync helps you synchronize public folders data on Microsoft Exchange Server (also Outlook and OWA public folders) with personal mailboxes so that it is accessible on mobile devices (Android, iPhone, iPad or Windows Phone).

 

In many organizations, employees need to access the shared company data, such as contacts or calendars and they need to access it on mobile devices. However, smartphones connected to Exchange via ActiveSync are not capable of synchronizing public folders. In other words, you can use your phone or tablet to access your Exchange mailbox, but not the public folders.

 

CodeTwo Exchange Sync provides a quick solution to this problem. It enables automatic synchronization of public folders data with user Exchange mailboxes. These folders, in turn, can easily synchronize data further to mobile devices. This ensures that your users can enjoy up-to-date data at all times in their Exchange mailboxes as well as on their handhelds, no matter what mobile they use.

 

In addition, by using one-way and two-way synchronization, you can decide whether employees can have rights to modify shared data on their mobile devices or on personal Exchange mailboxes.

 

One-way Exchange folders synchronization

 

One-way synchronization can occur between a set of folders (two or more), but the data will always go in one direction only. This means there are source folders and target folders. The changes made to the source folder are propagated (synchronized) to the target folders, but the changes that occur in the target folders are not synchronized back.

 

 

The one-way synchronization can be of the following type:

  • one to one
  • one to many
  • many to one

 

One to one

In this synchronization type, only two folders are in sync - one becomes the source folder and the other is the target. Therefore, the changes to the source folder are mirrored in the target folder, but the changes occurring in the target folder are not synced to the source folder.

 

 

One to many

There is one source folder only and multiple target folders. The changes in the source folder will propagate to all target folders. In this type, the data from the source folder is replicated to multiple target folders.

 

 

This synchronization type will be used, for example, in companies where there is one continually updated contacts database located in a public folder and the requirement is for the contacts to sync to the personal folders of selected employees. This will allow the employees to have public contacts alongside with their personal contacts folder. The data they input in their personal folders will not synchronize to the public folders (for that you would need the two-way synchronization type).

 

Many to one

There are multiple source folders and one target folder. Each change made to any source folder will propagate to the single target folder. In other words, the data from multiple folders is gathered in one folder.

 

 

This synchronization type will be frequently used with calendar folders, for example, when you want to create a single calendar that will show an aggregated view of multiple calendars. It enables quick setup of a public calendar that will contain appointments and meetings of several employees. What is more, by employing the modifiers, appointments of different employees can be tagged with separate color categories while the conditions will ensure that items marked by staff members as private will not sync to the public aggregated calendar.

 

Two-way Exchange folders synchronization

 

Two-way synchronization involves a mutual exchange of data in a group of folders (Folder ring). When any change occurs in one of the folders in the ring, this change is immediately propagated to all the folders within the group. Once the synchronization is done, all folders will contain the same set of data. 

 

For example, if you have five Exchange folders with contacts synchronized in two directions, then by creating a contact item in one folder, it will result in adding the same contact to the remaining four folders. If in any of the folders you update the phone number, the change will automatically be reflected in other folders included in the Folder ring synchronization.

 

Real-time Exchange folders synchronization

 

The synchronization of data between Exchange Server folders occurs in real time when using CodeTwo Exchange Sync. This means that each change made to any item in the source folder will immediately propagate to the target folder or folders.

 

The syncing occurs in the background so it is invisible to end users.

 

There are two general types for synchronization of data between Microsoft Exchange Server folders. The synchronization can take place at specified intervals or in real time - just like in our application.

 

Also, there are several ways in which various applications can access Exchange data. This is access through libraries: CDO, Outlook's API, WebDAV, EWS, and Extended MAPI. We always utilize Extended MAPI libraries in our applications, as the libraries of the lowest level that enable the best performance and the most advanced features.

 

Conditions - choose data to be synchronized

 

By using conditions, CodeTwo Exchange Sync lets the administrator precisely control which items can be synchronized and which should not be synchronized to the target folder.

 

The conditions prevent replication of items to the target folder which does not meet the defined criteria. For example, the administrator can configure the program to synchronize calendar appointments with a specified word in the subject, not older than 7 days, tagged with the ‘Business' category, and not marked as private by respective users.

 

In CodeTwo Exchange Sync, you can select from many conditions of various type. The access to some of which depends on the type of items you sync. For example, contact items will use a phone number filter that is unavailable for other type of data.

 

 

The filters render CodeTwo Exchange Sync practical in a number of scenarios. It can be used for instance to monitor user inboxes. If a message with a specified word in its subject or from a specified recipient lands in the inbox, this message can be copied without user's interference to a selected mailbox or a public folder.

 

Modifiers - dynamic tagging of replicated data

 

Apart from Conditions, another unique feature of CodeTwo Exchange Sync that gives the administrator wide control over synchronized data is modifiers.

 

The Modifiers let you modify the attributes (fields) of synchronized items on the fly. The administrator can use the feature to change the title, category, date, and many other attributes before saving items to the target folder. This feature is particularly helpful in one-way synchronization - type many to one - where data from multiple source folders is replicated to a single target folder.

 

 

While configuring the modifier, the administrator selects the attribute that will be changed before saving the item to the target folder as well as decides how the attribute will be modified. The modifiers also let you change multiple attributes of an item.

 

 

Easy deployment and setup

 

Depending on your company needs and requirements, CodeTwo Exchange Sync can be installed directly onto Exchange Server or other platform, or even a workstation*. The only requirement is for the computer where the program is installed to be connected to the Microsoft Exchange server or servers that will participate in data synchronization.

 

 

 

Similarly to all our applications, the deployment and setup of CodeTwo Exchange Sync is very easy and intuitive. In most cases, it can be performed without reading the documentation. However, a short guide to installation can prove helpful.

Multi-direction synchronization in real time

CodeTwo Exchange Sync can synchronize folder data in two manners: One-Way and Two-Way. One-Way synchronization allows synchronizing data in one direction from the source folders to the target folders. In Two-Way synchronization, the so-called ‘Folder Ring’, any change made on items in any source folder is propagated to the corresponding target folders in a given synchronization group. Additionally, the synchronization is performed in a real-time what means that each change on items in source folders is instantly pushed to the target folders. This assures having Exchange data constantly up-to-date avoiding integrity issues.

 

Filtering and modifying items during synchronization

The program lets you precisely define what items to synchronize by using Conditions. Furthermore, you can also use Modifications to change the attributes (fields) of the chosen items.
