CodeTwo Exchange Migration

CodeTwo Exchange Migration

CodeTwo Exchange Migration allows for secure and hassle-free migrations to Exchange 2019, 2016 and 2013 directly from older editions of Exchange (starting from Exchange 2003). This server app also lets you centrally manage migrations from servers supporting IMAP, such as IBM Notes, Zimbra, Google Workspace (formerly G Suite) and hosted email services. No double-hops, scripting or PST exports required.

Supported scenarios

  • Migrate from Exchange 2013, 2010, 2007, 2003 and newer to Exchange 2019, 2016 and 2013
  • Migrate from Small Business Server 2011, 2008 and 2003 to Exchange 2019, 2016 and 2013
  • Migrate from Office 365 (Microsoft 365) to Exchange 2019 and 2016
  • Migrate mail servers supporting IMAP to Exchange 2019, 2016 and 2013

Key features

Exchange to Exchange migration

No matter which Exchange Server version you are currently on, the program will let you easily migrate from one Exchange Server to another. CodeTwo Exchange Migration is especially useful when either moving users to another forest or upgrading your entire email server installation to a newer version.

Office 365 to Exchange migration

Migrating away from the cloud is not an easy task and is not supported natively. But thanks to the EWS source-to-target connection, it is possible to use our software to easily migrate from Office 365 to the on-premises Exchange Server. You can move the entire organization or only its specific part to any modern Exchange Server (2010+).

Cross-forest and cross-domain scenarios

What’s crucial about CodeTwo Exchange Migration is that it fully supports migrations between different domains and forests. Thanks to our migration tool, cross-domain and cross-forest migrations are finally possible.

Migrate from legacy servers directly to Exchange 2019 or 2016

Exchange Servers that are at least two versions apart cannot coexist in the same forest. It means that you cannot migrate directly, for example, from Exchange 2010 to Exchange 2019. CodeTwo Exchange Migration lets you migrate from any legacy Exchange Server to the newest versions without the necessity of pre-installing an intermediate Exchange version first. As a result, keeping your servers up-to-date and moving to Exchange 2019/2016 requires fewer resources and costs you less money.

Support for cutover, staged and hybrid migration

The program gives you full flexibility for configuring your migration projects. You can transfer all mailboxes in one migration run or in multiple batches, as well as migrate data from or to a hybrid environment.

Delta migration

During the migration process, users’ source mailboxes will probably gain new items before the mail flow is switched to the new server. With CodeTwo Exchange Migration, that is not a problem; the program allows you to rescan the mailboxes, migrating only new items, and not causing your already migrated items to duplicate.

Migrate to Exchange from Zimbra, Google Workspace and other IMAP servers

CodeTwo Exchange Migration also lets you centrally manage migrations of emails from IMAP servers like IBM Notes (formerly Lotus Notes), Google Workspace, Rackspace, Zimbra, Zarafa, Kerio Connect, etc. to Exchange 2019 or 2016. During IMAP migrations, you have access to all filtering, scheduling and reporting features that are available in Exchange migrations.

Migrate Small Business Server 2003, 2008 or 2011

Planning to migrate Small Business Server? We’ve got you covered! The program fully supports migrations from Small Business Server 2003, 2008 or 2011 to modern Exchange environments.

All languages supported

The language is not a barrier for migration with our software. CodeTwo Exchange Migration lets you migrate all items, regardless of which language is set on the source and the target servers. Even if every item you migrate is in a different language, the software will migrate each of them, including all special characters.

Select folder types

The program allows to choose what items are migrated. Simply mark folder type in the connection wizard to migrate only selected items such as emails, contacts, tasks, calendar appointments, notes and journals. Moreover, you can also exclude special folders - junk mail, deleted items or drafts.

No impact on users - zero downtime

Let your users work while their mailboxes are being migrated. The program doesn’t block mailboxes or put any limitations on users in terms of working with emails while their data is copied to another Exchange Server. Thanks to this model, the service unavailability during the entire migration can be reduced to a minimum.

Public folders migration

The program also supports migrations of Exchange public folders. The public folders’ structure can be moved to another Exchange Server organization exactly in the same way as users’ mailboxes.

Automatic user account and mailbox creation

CodeTwo Exchange Migration can prepare the target Exchange server for the migration, by automatically creating user accounts and mailboxes in it. The process is based on source server data and can be customized according to your needs.

Mailbox auto-matching mechanism

The program lets you automatically match source mailboxes to their counterparts on the target server. You can do this using a default matching pattern or define your own algorithm which will be used to compare mailbox properties. A lifesaver, especially when you are migrating a large organization.

Safe technology

CodeTwo Exchange Migration doesn’t remove or modify any data on the source server. The mailboxes are replicated on the target server without any changes to their configuration. All your data is encrypted before it hits the Internet, and the administrator has our guarantee that none of the user data will be lost during the migration process. In addition, the software is also developed and supplied according to our ISO/IEC 27001 and ISO/IEC 27018-certified management system.

Scheduling the migration

Sometimes it is only possible to migrate mailboxes while the users are away from office. The program lets you schedule the migration job for certain hours of a day and days of a week and launch it automatically while you’re not at work. Additionally, you can decide about the order of migrated mailboxes by setting up priorities for each of them. This way more important mailboxes are processed first.

Self-service application

The program is of a set-and-forget type. If you configure the migration job with the Scheduler feature enabled, you can actually sit back and relax while CodeTwo Exchange Migration migrates your mailboxes.

Detailed reports

Every migration process can be verified using the built-in reports. The administrator can review the overall progress of the migration or check the data-transfer status on a mailbox or job level.

Ease of use

The program has been equipped with a bunch of useful features that make the administrator’s work easier. Thanks to the specially designed connection wizards, you will be guided through the entire pre-configuration process and the Automatch option will come in handy while matching the source and target mailboxes.

Why is CodeTwo Exchange Migration secure?

Whether you are an information security officer, or you are simply concerned about the safety of your company data, you might be interested in how CodeTwo Exchange Migration ensures your confidential data is secure throughout the migration process.

ISO/IEC 27001 & 27018

CodeTwo Exchange Migration is developed and supplied in accordance with ISO/IEC 27001 and ISO/IEC 27018–certified Information Security Management System (ISMS). To ensure comprehensive information security and maximum protection of your personal data, the ISMS is audited at regular intervals and continually improved. We also consider and implement the necessary security measures at the earliest stages of software development process and we make sure all security options are always turned on by default.

No third party involved

The program is installed in your environment. There are no third party tools or cloud services involved, which guarantees that your data is completely secure on your servers and goes straight to the target servers. During the migration process, you are not prompted to reveal your credentials to any 3rd parties or log in to any additional services.

No confidential information leaves your organization

CodeTwo Exchange Migration is installed locally in the source environment. This means that your data cannot be accessed or processed by anyone outside of your organization. Log files which contain an item’s ID and title are stored only locally on your machine. We do not have access to those files unless you decide to send them to us (if you need any diagnostic analysis to be performed) for diagnostic purposes.

No accidental data loss

The application does not remove or modify any data on the source server. All moved items are only copied to the target location, which means the data in the original mailboxes is not changed. Apart from ensuring data integrity, it gives an added value: migration has no impact on users, as the availability of mailboxes and their content stays unaffected.

Data encryption

CodeTwo Exchange Migration uses secure, encrypted connections to prevent any unauthorized access and to ensure that your data is safe while on the move. On top of that, all information stored by the program can only be accessed by the administrator.

Secure authorization with Office 365 (Microsoft 365) via OAuth 2.0

To connect with Office 365 (Microsoft 365) and access source mailboxes, the program is authenticated through secure OAuth 2.0 protocol. CodeTwo Exchange Migration does not use Basic Authentication to access Exchange Online, which means the program does not store or use your Office 365 credentials at any point.

Support for Office 365 MFA

CodeTwo Exchange Migration can connect to Office 365 with multi-factor authentication enabled. You will be able to migrate Office 365 mailboxes while maintaining strict authentication policies in your Office 365 tenant.

No remote access to your network

CodeTwo has no access to your application. However, if you require assistance, our technicians may connect to your environment remotely by Skype for Business, but only if you provide them with access to your organization.

Detailed reports

Thanks to detailed reports, you will be able to keep a careful watch over the migration process. You will be able to see how the job progress goes and find out details per mailbox. If you come across any errors, you will immediately know where the problem lies.

24/5 Support

Should you encounter any problems during the migration process, our technicians are there to provide support, 24 hours a day, five days a week. Technical Support for CodeTwo Exchange Migration is included in the program’s price.

How does the program work?

CodeTwo Exchange Migration eases the migration of user mailboxes and public folders to an on-premises Exchange Server. Wizard-based experience allows you to quickly configure the program and set up a migration job. Highly scalable, reliable and secure, the program is a must-have, especially when performing large-scale migrations from Office 365 (Microsoft 365), IMAP or another on-premises Exchange environment.

To check how your company data flows during the migration process when using CodeTwo Exchange Migration, see the diagrams below.

Migration from Exchange to Exchange

The program perfectly suits for cross-forest and cross-domain migrations, allowing you to smoothly transfer mailbox and public folders data between on-premises Exchange environments.

In the Exchange-to-Exchange migration scenario, you should install the program in the source server domain. The program gives you three options to connect to the source Exchange Server:

  • Exchange Web Services (EWS)
  • Messaging Application Program Interface (MAPI)
  • Internet Message Access Protocol (IMAP)

Although there are three options, we recommend using either EWS or MAPI. You should use IMAP only if you cannot use any other protocols. The connection to the destination server is always established via EWS. The migration of user mailboxes and public folders is performed in the background and does not affect their performance or availability in any way. After the migration, you will have two identical sets of data on both source and target Exchange servers.

As the program is installed locally, there is no third party involved in the migration process and your company is the only organization that has access to migrated data. Having this in mind, CodeTwo Exchange Migration is best-suited for customers who especially value data security.

Migration from Office 365 to Exchange

CodeTwo Exchange Migration easily transfers mailboxes and public folders from Office 365 to an on-premises Exchange organization. The program uses encrypted connections so that your data is secured against an unauthorized access during the migration process. Your Office 365 credentials are safeguarded as well, since the program does not use them to access your tenant. Instead, CodeTwo Exchange Migration’s connection to Exchange Online is authenticated with OAuth 2.0 access tokens.

Migration from an Office 365 tenant to an on-premises Exchange server is managed through EWS on both ends. In a typical Exchange-to-Exchange scenario, it is recommended to install the program in the source domain. However, in this case, where the source server is a cloud server, the program needs to be installed in the target server domain, which is on-premises Exchange. You do not have to set up any intermediary servers as the migration process is performed “door-to-door”, in one direct hop.

Migration from IMAP source to Exchange

When you migrate data from IBM Notes, Zimbra, Google Workspace (formerly G Suite) or any other IMAP-supporting services, CodeTwo Exchange Migration accesses source server via Internet Message Access Protocol (IMAP) to migrate emails to Exchange. Migration via IMAP supports only email folders, which means that other types of folders like contacts, calendars or tasks are not migrated in this scenario.

In the IMAP migration scenario, CodeTwo Exchange Migration can be installed on any workstation which has access to both your source IMAP server and the target Exchange server. For target server connection, the program uses Exchange Web Services (EWS).

Unlike when using EWS or MAPI, IMAP makes it impossible for administrators to provide only their credentials to migrate other users’ mailboxes. This is why the program will ask you, in one of the configuration steps, to provide a CSV file containing users’ credentials allowing for access to source mailboxes.

Using the IMAP connection is welcome only if you need to migrate from a hosted Exchange or other server to which you have limited access or the one that does not support EWS or MAPI. If that is not the case and you are migrating from an on-premises Exchange, use EWS or MAPI connections instead.

Frequently Asked Questions

Can I migrate from Office 365/Microsoft 365?

Yes, you can. CodeTwo Exchange Migration lets you migrate mailboxes and public folders from Office 365 (Microsoft 365) to Exchange 2019, 2016, 2013 or 2010.

Will the program migrate encrypted emails?

The program will migrate encrypted emails as regular emails, which will be then normally accessible on the target server. The email encryption configuration will not be migrated and it needs to be reconfigured after migration. All emails from the source server are copied “as such” to the destination server and look exactly as the original.

Can the program migrate items between servers with different language versions?

Yes. CodeTwo Exchange Migration supports all languages, regardless of the language on the source and the target server. The software moves all special language characters so that all items can be migrated with no issues.

How long does the migration process take?

Nowadays, an average migration speed is between 500 MB and 2 GB per hour. However, how long the entire migration process will take may depend on various factors.

The first thing to note is that our software does not affect the speed of the migration in any way. Environment-specific factors that can limit or increase this speed include the quality of your internet connection (in the case of a migration to a different network), your local router throttling, source and target server throttling, performance of the computers involved, etc.

Where do I install the program?

You can install CodeTwo Exchange Migration anywhere in your source server domain – even on a workstation. If you are migrating from Office 365 (Microsoft 365), install the program on your target Exchange server.

How does the program create mailboxes on the target server?

If during the auto-matching process the program detects that any of the source mailboxes do not have their counterparts on the target server, it will propose creating these mailboxes based on a set of source mailbox data. You can modify this set using a range of mailbox properties.

Does the program delete anything from the source server?

No, it doesn't. CodeTwo Exchange Migration accesses the source server data passively, which means that no data is deleted or modified on your source server.

Is it possible to migrate mailboxes within the same domain using your program?

Yes, provided that the User Principal Names (UPN) of the source and target mailboxes are not the same.

For example, it is not possible to migrate from server A to server B within the same domain, e.g. example.com, if both the source and target mailboxes are named john.smith@example.com. In order to successfully carry out such a migration, you have to create a different mailbox for this user in the target location and name it differently, e.g. j.smith@example.com.

Please note that other limitations still apply. Coexistence of Exchange 2003 and 2013/2016/2019, 2007 and 2016/2019 or 2010 and 2019 is not possible. Therefore, in this case a direct migration is only possible in a cross-forest scenario, which is fully supported by CodeTwo Exchange Migration.
