1 Data Management&Version Control
Data & Document Management
At the core of 12d Synergy are its rock solid data and document management capabilities, implemented in a way that makes sense for engineering, architecture and construction businesses.
12d Synergy is the best solution for storing and securing your priceless documents and data, including: Microsoft Office documents; Outlook emails; CAD drawings; Geospatial data, such as 12d Model projects; Any other file or folder.
12d Synergy software is installed on your server and all users can access company data through the 12d Synergy client. 12d Synergy provides a check in/check out process to edit data and contains version control, rollback and collaboration features. All data transferred is encrypted to ensure data security and access can be granted to users outside of the office.
For users who are on-site or unable to connect to the Internet, you can take data ‘offline’ to continue working without a network connection. Furthermore, for surveyors and contractors wanting to synchronise data from a central database model to surveyors (and vice versa), a ‘data sync’ feature is available. For multiple office setups, File Replication Servers can be utilised to increase data transfer speeds.
Version control and a complete audit trail are key to any effective data management system.
At some point, we have all experienced losing changes to a document, or opening the wrong version as files and documents are emailed or added to haphazard shared drives.
12d Synergy uses a check in and check out system so you can trust that you are working on the most recent version of the file, and you will know if someone else is currently working on it. Avoid the embarrassment of sending a document to a client only to realise that it was in the process of being updated.
12d Synergy will keep detailed information on: who changed the data; when it was changed; why it was changed; and any other information that you define to help track your documents and data.
Easy folder management
12d Synergy efficiently manages both your files and entire folders of files.
Simply check the 12d Synergy folder as managed and the software will automatically detect new, deleted or changed files and sub-folders, and update the associations between files.
With 12d Synergy folder management, keeping track of the complex data and file relationship of your specialist software is easier.
With our lightning fast Lucene based search technology, you can search for: file names; attributes; contents of 12d Synergy notes; and contents of common file formats including: Microsoft Office documents; emails; CAD drawings.

Project collaboration made easy

Tasks
12d Synergy tasks give managers and colleagues an overview of project progress.
You can see a list of all active tasks in a job, as well as your currently-active or outstanding tasks, as well as tasks assigned to the user. This is a great tool not just for the users but also project managers, who will be able to drill down through the details of the project to get a real time view of its progress.
Securely share documents with clients and other external stakeholders by publishing over the web, directly from 12d Synergy. Publishing sensitive files and folders can be secured by adding a password or specifying an expiry date. Best of all, downloads are logged so you know when and who accessed the files.
If you are sending data to external parties you can utilise 12d Synergy’s Issue Register to track exactly what version of which files are sent, when they were sent, by whom and how.
You can also use the publishing feature to securely send your files over the web, which means that you can know, with confidence, when a client has received and downloaded the issued files.
In 12d Synergy, notes can be attached to any file or folder, with the ability to have a conversation with many stakeholders on every document, spreadsheet, email or project file.
12d Synergy supports forums. Each job and sub-job may contain multiple forums. Forums are excellent for creating communities of collaborators. It is a place for collaborators to discuss issues and share knowledge. It reduces emails and promotes conversation.
When a project deadline is looming, you might want to get real-time updates on work that you really care about as it progresses.
With 12d Synergy, any user can set up automatic notifications on any job, folder, file or task to alert you of changes including:

For surveyors and other team members visiting remote mines, remote road construction projects or other places without Internet connectivity, 12d Synergy can check out files or folders for offline use. Therefore if your working in a location with either unreliable or no internet, you can still work with the 12d Synergy system.

12d Synergy is the ONLY data management system to work seamlessly with 12d Model.
Full Version Control & History
12d Synergy maintains a full history of your 12d Model projects. At any time you can roll back to a previous version, without the time and hassle of backing up the entire project folder.
Stop wasting time and bandwidth with intelligent data transfer. 12d Synergy gives you the benefit of working from your local drive with minimal network lag, with the added security and peace of mind of full version and revision history.
By keeping a cached copy of all working files on the machine you are working on, with the original files secured on the 12d Synergy server, you can be sure that working will be fast and secure.
We know that users don’t often use 12d Model in isolation. With 12d Synergy you can securely share your model and TIN files with other 12d Synergy users.
Attributes that are created or updated inside 12d Synergy will be automatically updated in the checked out 12d Model project.
12d Synergy allows you to export and take your 12d Model data offline, leaving it in an editable state so your team can continue working.
Whenever you’re back online, 12d Synergy will synchronise your updates with the server and store it in the appropriate database.
4 CAD Management
12d Synergy enables a single source of truth for all CAD data. Managing CAD with 12d Synergy gives you the following benefits:
To make the process of working with CAD easier, 12d Synergy comes with easy to use plugins for popular CAD applications such as: AutoCAD, BricsCAD.
12d Synergy allows you to check files in and out directly from your supported applications, or even check in or out X-Refs stored in 12d Synergy from your CAD software.
The 12d Synergy check-in check-out feature ensures that you are working on the latest version of a drawing, and ensures that no other user can write to or edit the same file at the same time. Avoid the risk of transmitting a drawing to a client only to realise the file you have sent is outdated.
12d Synergy will log information on; Who edited the drawing; When it was changed; Why the changes were made; Any other information which you wish to be logged can be customised.
12d Synergy also allows you to roll back to any previous versions of your drawings at the click of a button
12d Synergy’s remote access tool allows you to check out, edit, and check in any drawing, provided you have a network connection.
This is particularly beneficial when working with contractors, remotely based staff or across multiple offices.
5 Regional and Global Worksharing
What is worksharing?
Worksharing is the process which enables multiple team members in a single design office, or multiple offices to collaborate on projects irrespective of their geographical location.
The Problem
The technical side of modern design packages such as 12d Model and CAD have made worksharing with generic systems almost impossible. Data could be lost, mishandled or corrupted. Many of these generic solutions simply create copies of the files. In a busy collaborative environment, there is a high risk that staff could work, transmit or share the wrong version of a file.
The Solution
12d Synergy enables efficient and seamless worksharing for staff regardless of their location by providing a single source of truth for all emails, documents and geospatial data. 12d Synergy is a check in/check out system which uses local caching. Data-intensive engineering and geospatial software can operate on locally stored hard drives rather than on a network drive, greatly increasing performance and responsiveness for not just the design team but all users on the network.
12d Synergy’s intelligent data transfer can save 90% of your data transfer whether you are in a single office or multi-office environment.
With our optional File Replication Servers (FRS) you can save time and money by caching files at each office location. The 12d Synergy File Replication Server (FRS) is network server, typically used in remote offices that are connected to a central server via a Wide-Area-Network (WAN), to save previously requested files in temporary storage.
6 Data Sync for Surveyors and Contractors
Problem
Until now, there has been no managed way to get data from the data manager to the field surveyors and their survey work back without using untracked and unreliable solutions.
Solution: 12d Synergy’s Data Sync
12d Synergy is a data management and project collaboration tool that helps you keep track of your data and what your team is doing.
Whether using 12d Model, 12d Field or another surveying application, data needs to be transferred to surveyors to work on in the field. 12d Synergy offers a simple and robust two-way data synchronisation option that pushes a ‘central data model’ to all selected computers or tablet PCs. Data synchronisation can be configured to perform overnight, or on demand, and the data owner is also notified when the data has successfully been synchronised.
7 Email Management and Connected Products
Email Management
Track all job-related correspondence including incoming and outgoing emails using the Microsoft Outlook plugin. Emails can be stamped with a job number or a job attribute and automatically filed into the corresponding 12d Synergy job.
Once added to 12d Synergy, emails can be viewed from within the 12d Synergy client. You can even save email attachments separately.
The email will always be associated with the attachment so that you can establish where the data came from throughout the project.
With the 12d Synergy ribbon in Microsoft Excel and Word, you can: Upload new documents and spreadsheets; Check out existing documents and spreadsheets; And edit and add new attributes.
Attributes stored in 12d Synergy can be imported into Word documents, and references in Excel are maintained while being managed in the 12d Synergy environment.

CAD Plugins
The connector API allows you to connect 12d Synergy to your business’s other software products. 12d Synergy has connectors available for many popular products. Connectors automatically import information stored in other products – preventing double entry, saving time and reducing errors.
A wide range of data can be imported including jobs, tasks, files, folders, client and supplier companies, contacts, staff, notes and custom fields.
